A day ashore can become one of the loveliest memories of a cruise: a new city, a good lunch, and the pleasure of discovering it all with friends. A little planning before you book helps everyone enjoy the same relaxed day.
Start with the people, not the sightseeing list
Before choosing the places you want to visit, think about the people who will be joining you. How many guests are confirmed? Are others still deciding? Does anyone prefer short walks, need regular breaks, or use a walking aid?
A private tour is arranged for your own party, rather than a group of unrelated travelers. That gives you the opportunity to discuss a pace and itinerary that suit the people you know. It does not mean every possible request can fit into one day, but it does make an honest conversation about priorities especially useful.
Choose one person to coordinate the group
A group organizer makes the booking process much easier. This person can collect questions, share the proposal, and make sure everyone understands the agreed arrangements. One clear conversation helps avoid different members receiving or remembering different details.
For your first inquiry, send your cruise ship name, port, date, expected number of guests, and the ship’s scheduled arrival and departure times. Include a few interests rather than a long list of compulsory stops. Tell us whether lunch, a scenic drive, history, or simply a comfortable introduction to the city matters most.
Confirm the vehicle and seating
The right vehicle depends on the final party size, availability, and individual needs. A small group and a larger gathering may require quite different arrangements. Ask what vehicle is proposed and confirm the passenger seating before accepting the booking.
If regular seats are important to your group, make that clear. Mention large bags, a folding wheelchair, or other equipment that will need storage. Do not assume that a vehicle with enough passenger seats automatically has enough space for everything you wish to bring.
Talk about walking and mobility early
Many of our guests want to enjoy Japan without spending the whole day on their feet. Tell us about walking distances, stairs, and getting in and out of a vehicle before the itinerary is finalized. A simple description of what feels comfortable is more helpful than trying to keep up once the tour has begun.
For wheelchair users, please explain whether the chair folds, its approximate size, and whether the guest can transfer to a vehicle seat. Accessible transport and access at individual attractions need to be checked; a car tour alone does not guarantee that every stop will be suitable.
Plan around the ship’s all-aboard time
Your ship’s departure time and its all-aboard deadline are not necessarily the same. Share both when you have them, and allow time for disembarkation at the beginning of the day.
A sensible plan includes a return buffer rather than filling every available minute with sightseeing. Weather, traffic, and port procedures can affect the day. A shorter itinerary enjoyed comfortably is often more rewarding than an ambitious route that leaves everyone watching the clock.
Read the proposal together before paying
Check the tour duration, meeting arrangements, inclusions, and anything payable separately, such as meals or admission fees. Confirm the quoted currency, payment schedule, and the conditions that apply to your particular booking.
Cruise plans can change, so ask how a canceled port call, a revised arrival time, or a shorter stay would be handled. Terms may differ by booking channel and arrangement. Keep the written confirmation available to the group rather than relying on a policy someone remembers from another tour.
Keep us informed if your group changes
More friends may decide to join after the first inquiry. Please contact us before promising them a place: extra guests can affect the vehicle, availability, itinerary, and price. Once a change is agreed, share the updated confirmation with everyone.
At Nagasaki Private Tours, we believe a good day begins with understanding your group. Give us the essential details, tell us what would make the day comfortable, and let us help you turn your time ashore into a shared experience worth remembering.
